Exostar’s Managed Microsoft 365 Send Files Externally

Send Files Externally allows Exostar’s Managed Microsoft 365 customers to send files from your NIST SP 800-171 compliant sites directly, without downloading.​

Enable Sending Files from your Team

Exostar takes a deny by default approach and the Send Files Externally capability is disabled for any new or existing team.

This capability must be enabled individually for each team.

Only Sponsor Administrators and Team Managers can enable sending files from within a team. Once enabled, Team Managers and Sponsor Admins with access to the team  can send files.

To Enable Send Files Externally:

  1. Open the Exostar Managed Microsoft 365 Teams app, go to Manage Teams, and select the team from the drop down
  2. If not already enabled, set Team File Drop to Enabled.
  3. Set Send Files Externally to Enabled
  4. Click Save

NOTE: Team File Drop must be enabled to enable Send Files Externally.


Send Files Externally

When Send Files Externally is enabled for a team, the SharePoint item menu includes the option Send File Externally.

*Only Sponsor Administrators and Team Managers with team access can send files externally.

To Send a File Externally:

  1. Navigate to the file location in Teams. Click the three dots in the navigation bar and click Open in SharePoint.
  2. Click the three dots next to the file to open the item menu and choose Send File Externally.
  3. Enter one or more recipient email addresses, separated by semicolon, in the To field. Optionally add email addresses to the CC or BCC fields.
  4. Enter Subject and Message.
  5. You must check the box to acknowledge you are sending the file outside of Exostar’s compliance boundary.
  6. Click Send.

NOTE: Sent messages will appear in the File Drop Inbox and are recorded in the team’s audit history.
