Exostar Secure Messaging User Management

Sponsor Administrators are responsible for user management. Access the Users page from the Administrator tab. The page displays:
– Dual seat panel: Total Seats and Thread Manager Seats sub-cap, each showing current usage / cap with a progress bar.
– Role tabs: All · Sponsor Admins · Thread Managers · Participants Only · Pending. Each shows a live count badge.
– Search: Filters by display name, email, or email domain in real time.
– Users table: One row per user: name + email, Active/Pending status, Sponsor Admin toggle, Manage Threads toggle, Manages (thread count), Added date, an Edit (pencil) icon, and a Remove action.

Your own row is highlighted. All toggles are locked on your row — you cannot demote or remove yourself.

Add User

To add a user:

1. Select Add User.

2. Enter the Email Address.

NOTE: The system looks up the address and shows a status banner:

  • Active Exostar Network Identity: Verified. Display Name auto-fills.
  • New to the Exostar Network: No account exists. An invitation will be sent. Enter Display Name manually.
  • External email — Participant only: Email domain not registered to your sponsor. Capability toggles are locked off.
  • Pending invitation already sent: Already invited. Use Re-send invitation.

3. Confirm or enter the Display Name.

4. Set capabilities (available only if the user’s email is on one of your sponsor’s registered domains):

  • Manage Threads: Lets the user create threads and manage participants. Consumes one Thread Manager Seat.
  • Sponsor Admin: Grants full administrative authority. Cascades Manage Threads on and locks it.

5. Select Add User.

NOTE: Confirm: toast reads User [name] added to [sponsor]. or Invitation sent to [email].

Edit User

To edit a user:

1. Select the Edit (pencil) icon on a user’s row to open the Edit User modal.

NOTE: The only editable field is Display Name.

2. Update the name. Select Save Changes.

The updated name reflects immediately across the platform.

Toggle Sponsor Admin

Activate the Sponsor Admin toggle on a user’s row to open a direction-aware confirmation modal.

Turning on: Manage Threads is automatically enabled and locked. Consumes 1 Thread Manager Seat if Manage Threads was previously off (blocked if the cap is full).

Turning off: Administrative authority is revoked. The user retains Manage Threads — it is not automatically disabled. If removing the last Sponsor Admin, a soft warning appears.

Asymmetric cascade: Sponsor Admin ON → Manage Threads turns on automatically. Sponsor Admin OFF → Manage Threads stays on. These are independent.

Toggle Manage Threads

Activate the Manage Threads toggle on a user’s row.

Turning on: Consumes one Thread Manager Seat. Blocked if the cap is full.

Turning off: Frees one Thread Manager Seat. If the user manages threads, a confirmation dialog asks how to handle those threads:

  • Orphan and lock all [N] threads — threads become orphaned and locked until you reassign from the Threads administration page.
  • Reassign all [N] threads to a single Thread Manager — select an eligible Thread Manager from the dropdown. They are auto-added to threads where they are not already a participant.

Remove User

To remove a user:

1. Select the Remove (trash) icon on a user’s row.

NOTE: This is a terminal action and cannot be undone. The user loses access to all threads at your sponsor. Past messages and files remain with strikethrough attribution.

2. If the user manages threads, choose how to handle them: Orphan and lock all threads, or Reassign all threads to a single Thread Manager from the dropdown.

3. Select Remove User to confirm.
